Type a registration and Vehrano fills in the make, colour, fuel and year, and sets the MOT and road tax dates. Or import your whole spreadsheet in one go, dates included.

MOT, tax, insurance, service, inspections, licence checks: one email digest 30, 14, 7 and 1 days before each one, to everyone in the office who wants it.

Enter the registration and look it up: Vehrano pulls the tax and MOT status from DVLA, the make, colour, fuel and year, and the full MOT history from DVSA, then sets the MOT and road tax reminders for you.

Repairs, bookings and the paperwork

Log every service, repair, tyre change and inspection with the cost, mileage and garage. Book work in before it is done and email the garage a booking request straight from the job. Attach the invoice when it arrives.

Drivers' checks from their phones Enterprise

Drivers get a login that can see, but not change, the fleet. Each morning they run the walkaround checklist on their phone. Anything marked as a defect lands on the vehicle, the office is emailed at once, and a dangerous defect flags the vehicle as unsafe to drive.

Already have trackers? Keep them. Vehrano links to your tracking platform and shows every vehicle on a map: moving, parked, or flagged unsafe. The tracker's mileage keeps each vehicle's reading up to date automatically, so mileage-based reminders and cost per mile stop relying on anyone typing numbers.

Depots and sites Enterprise

Big fleets run as several yards. Give each depot its own page, move vehicles between them, and narrow the home screen, the fleet list, the map and the reports to one depot. A depot manager's login can be limited to their own yard, so they see only their vehicles and only hear about their dates.

Works on a phone, off a desk, and without signal

Vehrano is a web app: nothing to install, and it adds itself to a phone's home screen. The last fleet it loaded stays readable without a connection, so a driver in a yard with no signal can still see what is due.

It reminds you about the dates you record and the ones DVLA returns. It is not legal, safety or compliance advice, and it cannot know about an obligation you haven't entered.

Your data stays yours

Hosted in the UK by a UK company. No ads, no analytics, no tracking. Export everything, or delete the whole account, whenever you like.

Insurance is recorded, not looked up

No public source exists for a vehicle's insurance, so you record the policy and renewal and Vehrano reminds you. Tax, MOT and MOT history come from DVLA and DVSA.

FAQ

Questions people ask.

Can I try it before paying?

Yes. Every new account starts with 14 days of the Standard edition, free, with no card. At the end of the trial you choose a plan. Until you do, the account is read-only: you can sign in and export, but not add to it. Nothing is deleted.

We have 59 vehicles and nobody on a phone. Which edition?

Lite, at £59 a month. If the office wants driver records, booked jobs, the fuel log and PDF reports, Standard at £118. Enterprise is for when drivers do checks on their phones or you want trackers on the map.

Where does the MOT and tax information come from?

From DVLA's Vehicle Enquiry Service and DVSA's MOT history service, shown as returned at the time of the lookup. Our access to the government data is being finalised; until it is approved, lookups show clearly labelled sample data.

Can I import my existing spreadsheet?

Yes. Save it as a CSV. Registration is the only column that has to be there. If your spreadsheet also has columns for the name, type, driver, mileage, insurer, policy number or the MOT, tax, service and insurance dates, Vehrano picks those up too, in any order and under most common headings. Columns it doesn't recognise are ignored, and plates already on your fleet are skipped rather than overwritten.

Do my drivers need an account?

Only if you want them doing walkaround checks or fuel fill-ups from their phones. A view-only login can see the fleet and do those, but cannot change anything else.

What happens if we stop paying?

The account goes read-only. You can still sign in and export everything, but nothing new can be added and the reminder emails stop. Pay again and it carries on where it left off with nothing lost. An account left unpaid for 90 days is closed and its data deleted, after a warning email. Moving down an edition is different: those features are hidden, not deleted, and come back if you move up again.

Is it secure?

Two-factor sign-in, encrypted secrets, hashed sessions, an account owner nobody else can remove, and an audit trail of team changes on Enterprise. UK hosting, UK company, registered with the ICO.

Can Vehrano be changed to fit how we work?

Yes. The editions are off the shelf and priced per vehicle. If you need your own forms, reports, integrations or branding, we build bespoke versions on the same foundation, quoted per project. Email sales@vehrano.co.uk with what you have in mind.

Do you sell trackers?

We can supply units and SIMs that report into Vehrano, priced separately on top of Enterprise. If you already have trackers, keep them: Vehrano links to Traccar, Samsara and Geotab, and anything else can push positions to us.
